By using this website (“Site”), Rinnai Apps, interacting with our business and services, and participating in our database or promotions; you acknowledge and consent to our use of your personal information in accordance with this Privacy Statement.
Rinnai New Zealand Ltd (“Us”, “Our”, “We”) is committed to ensuring that your privacy is protected. This Privacy Statement describes the governance, the collection, use and disclosure of your personal data by us and has been prepared in accordance with our obligations and your rights set out in the New Zealand Privacy Act 2020. We reserve the right to modify or amend this Privacy Statement at any time and for any reason.
We refer to Customer (“You”, “User”, “Visitor”, “Company”, “Organisation” ), as anyone who may visit or use any of the services, premise, purchase, make booking, or interact with Rinnai New Zealand and its subsidiaries.
For the purpose of this Privacy Policy “Personal Information” is information that identifies you as an individual or relates to an identifiable person, including your name, email address, residential address and telephone number. If you submit any Personal Information relating to other people to us or to our service providers in connection with the Services, you represent that you have the authority to do so and permit us to use the information in accordance with this Privacy Policy.

What kind of personal data we collect
We may collect the following data you give us. The data will be related to individuals, businesses and organisations.
NOTE: Email communications are not always secure, please do not include credit card or other sensitive information in your emails to us.
Account Information:
- Account Details: We collect only the personal data you give us (including your name, email address, job title, mailing and postal address and contact telephone numbers). We may also keep a record of any products and services that you receive from us.
- Account and Payments Information: additional information you provide to set up and manage sales and payments services, this incudes information about you and your business, such as bank account details, billing address, name, address, phone number, date of birth, GST number, etc.
- Account History Information: Information about your account’s use of the Services, including your purchases, products, invoices, payments, credits, warranty claims, etc. and related details.
- Marketing Preferences: Your marketing preferences and details, including our direct marketing messages.
- Communication Information: The emails and other communications that you send us or otherwise contribute, such as customer support inquiries or posts to our customer message boards or forums (be aware some of this information on public platforms are available to others).
- Site Usage Information: anonymous browsing or other information from your use of the website. As a TradeSmart user, more information is captured as a user of this service, this includes, preferences, web pages you visited, information about your browser, network or device (such as browser type and version, operating system, internet service provider, preference settings, other regional settings). Furthermore, some information such as timestamps, clicks, scrolling, browsing times, searches, transactions, referral pages, load times, and problems you may encounter, such as loading errors). If you’re using one of our mobile applications, Site Usage Information could also include your location information if your mobile device settings authorise us to collect this information.
- Survey and Research Information: Information you share with us in connection with surveys or research.
- Promotion Information: Information you share with us in connection with contests, sweepstakes or other promotions.
- Other Information: The Company may also collect any information that does not reveal your specific identity or does not directly relate to an identifiable individual, such as device information, App usage data, product usage data, IP address, physical location of your product, demographic information and other information provided by you, and aggregated information. If the Company is required to treat Other Information as Personal Information under applicable law, then we may use it for the purposes for which we use and disclose Personal Information as detailed in this Privacy Policy.
Where we collect personal data from
The Company may collect Information in a variety of ways, including:
- Through your device: Certain information is collected through your device or software, such as your Media Access Control (MAC) address, screen resolution, operating system name and version, device manufacturer and model, language, software type and version and the name and version of the Services (such as the App) you are using. We use this information to ensure that the Services function properly;
- Through your use of the App: When you download and use the App, we and our service providers may track and collect usage data, such as the date and time the App on your device accesses our servers and what information and files have been downloaded to the App based on your device number;
- Through your use of your product(s): When you use the Services, we and our service providers may collect information about your product(s), such as its model and serial number. In addition, we may collect usage data, such as when and for how long the product is on or off, operating mode, operating conditions and operating parameters;
- IP Address: Your IP address is a number that is automatically assigned to the device that you are using by your Internet Service Provider. An IP address may be identified and logged automatically in our server log files whenever a user accesses the Services, along with the time of the visit and the page(s) that were visited. Collecting IP addresses is standard practice and is done automatically by many websites, applications and other services. We use IP addresses for purposes such as calculating usage levels, diagnosing server problems and administering the Services. We may also derive your approximate location from your IP address;
- Physical Location: We may collect the physical location of your product(s) by, for example, using WIFI signals. We may use the information to improve our products and services and provide you with personalised location-based services and content;
- From you: Information such as your company name or country of residence is collected when you voluntarily provide it; and
- By aggregating information: Aggregated Personal Information does not personally identify you or any other user of the Services (for example, we may aggregate Personal Information to calculate the percentage of our users who have a particular telephone area code).
The Company may use the Information collected for the following purpose(s):
- To enable you to use the Services and provide you with related customer service;
- To respond to your inquiries and fulfil your requests, such as to create an account or send you newsletters;
- To provide maintenance, warranties, support for your product(s) or safety recalls;
- To send notices and administrative information to you, such as information regarding the Services and changes to our terms, conditions and policies; and
- To provide you with access to secure areas of our websites, apps or notices about updates to the functionality of our websites
- For our business purposes, such as data analysis, sales analysis, audits, fraud monitoring and prevention, addressing issues with our Services, developing new products, enhancing, improving or modifying our Services, identifying usage trends, determining the effectiveness of our promotional campaigns and operating and expanding our business activities.
The Company may disclose Personal Information in the following instances:
- To our employees, to the extent they need to have access to your personal information for one of the purposes described above
- For the operation of our websites or our business
- To provide products and services to you
- For the specific purpose of fulfilling requests by you
- To our parent company, Rinnai Japan, for the purposes described in this Privacy Policy. The Company will remain the party responsible for the management of the jointly-used Personal Information;
- To our third-party service providers who provide services such as app design, development, interoperability and maintenance; data hosting; data analysis; information technology and related infrastructure provision; customer service; email delivery; auditing and other services;
- To a third party in the event of any reorganisation, merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of our business, assets or stock (including in connection with any bankruptcy or similar proceedings); and
- Where we are permitted to under the Privacy Act
Other Uses and Disclosures:
The Company may also use and disclose your Information as deemed necessary or appropriate,
- under applicable law, which may include laws outside your country of residence;
- to respond to requests from courts, law enforcement agencies, regulatory agencies, and other public and government authorities, which may include such authorities outside your country of residence;
- to enforce our terms and conditions; and
- to protect our rights, privacy, safety or property, and/or that of our affiliates, you or others.
Third Party Services
This Privacy Policy does not address, and we are not responsible for, the privacy, information or other practices of any third parties, including any third party operating any site or service to which the Services link. The inclusion of a link on the Services does not imply endorsement of the linked site or service by the Company or by our related parties.
In addition, we are not responsible for the information collection, use, disclosure or security policies or practices of other organisations, such as Apple, Google, Microsoft or any other app developer, app provider, social media platform provider, operating system provider, wireless service provider or device manufacturer, including with respect to any Personal Information you disclose to other organisations through or in connection with the Services.
How we store personal data
Your information will be held at our office located at 105 Pavilion Drive, Airport Oaks, Mangere, Auckland 2150, New Zealand (as listed on our website). It may also be held for us in the data centres, platforms and systems of our third-party service providers, some of which may be located outside of New Zealand. Your personal information will not be shared, sold, rented or disclosed other than as described within this policy or as permitted by the Privacy Act.
The Company seeks to use reasonable organisational, technical and administrative measures to protect Personal Information within our organisation. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure (for example, if you feel that the security of your account has been compromised), please immediately notify us in accordance with the “Contacting Us” section below.
Contacting Us
If you would like to review, correct, update, suppress or delete Personal Information you have provided to the Company, you may do so by editing your user account or by contacting us using the contact information below. In your request, please make clear what Personal Information you would like to have changed, whether you would like to have your Personal Information suppressed or otherwise let us know what limitations you would like to impose on the Company’s use of your Personal Information. We will try to comply with your request as soon as reasonably practicable.
For any questions or if you believe your information is breached by this policy, please contact us using the contact information below and provide details of the incident so that we can investigate it.
All enquiries and complaints are investigated by the Privacy Officer once received. We have a formal process starting with an investigation who will endeavour to determine the nature of the enquiry or any breach and how it occurred. We may contact you during the process to seek further clarification if necessary. If a breach is found, the Privacy Officer will follow through so that the process can be rectified to prevent any further breaches from taking place. We will contact you with the outcome. We will treat your requests or complaints confidentially.
